Know who uploaded every photo and prove they agreed to your terms

Collect photo releases and verified emails before guests upload.

Collecting photos from guests is great until you need to prove who took them or that they gave permission. Whether it is a wedding photo release or a corporate event policy, Gather Shot lets you attach a consent document that guests must accept before they upload.

Every acceptance is recorded with a verified email address, a timestamp, and the consent version number. If you update the document, the version increments automatically and returning guests must re-accept the new terms.

One checkbox for guests, full audit trail for you

Photo releases should not live on clipboards

At most events, consent happens on paper. Someone prints a stack of release forms, leaves them on a table, and hopes guests sign before taking photos. Half the forms go missing. The rest end up in a box that nobody opens again.

Digital alternatives are not much better. You can email a PDF, but tracking who actually read and agreed is manual work. And if you update the policy mid-event, there is no way to know which guests saw the old version versus the new one.

Gather Shot handles this inside the upload flow itself. Guests see your consent text, check one box, and verify their email with a magic link. You get a timestamped record of every acceptance, tied to the exact version of the document they agreed to.

How consent and email capture works

1

Write Your Consent Document

Add your photo release, privacy notice, or event rules as free-form text in your event settings. There is no template to follow. Write whatever your event requires.

2

Guests Accept and Verify

Before uploading, guests read your consent text and check a box to agree. They then verify their email via a magic link. No passwords, no account creation.

3

You Get an Audit Trail

Each acceptance is recorded with the guest email, consent version number, and timestamp. If you edit the document, the version increments and guests must re-accept.

Why This Feature Matters

Documented proof of consent

Every acceptance includes a verified email, the exact consent version, and a timestamp. You can show exactly who agreed and when, which is useful for photo releases, HR policies, and legal compliance.

Version tracking with automatic re-consent

If you update your consent document after guests have already accepted, the version number increments automatically. Returning guests must accept the new version before they can upload again.

Know who took every photo

Because email verification is required, every upload is tied to a verified identity. No more anonymous photos where you cannot figure out who submitted them.

Zero friction for guests

Guests check one box and tap a magic link in their email. There is no account to create, no password to remember, and no app to download. The entire flow takes about 30 seconds.

Works with scavenger hunts too

The consent gate applies to the entire upload flow, including scavenger hunt submissions. Guests accept your terms once and can then participate in photo challenges without being asked again.

Frequently Asked Questions

Can I write my own consent document or do I have to use a template?
You write your own. The consent settings page provides a free-form text area where you write whatever consent text you need, whether that is a photo release form, a privacy notice, or event rules. Guests see your exact text and must check a box to accept before uploading. There are no templates.
What happens if I update the consent document after guests have already accepted?
The consent version increments automatically whenever you save changes to the document. Guests who previously accepted the old version must re-accept the new version before they can continue uploading. Their original acceptance record is preserved in the system.
Do guests need to create an account to accept consent?
No. Guests only need to verify their email address. No account creation is required. When you enable consent, email verification turns on automatically so there is a verified record of who accepted. Consent is recorded when the guest clicks the email verification link or accepts via the consent gate.
What information is stored for each consent acceptance?
Each acceptance record stores the guest email address, the consent version they accepted, the timestamp of acceptance, their IP address, and their browser user agent string. This gives you a detailed audit trail for every upload.
Can I use consent and email capture with scavenger hunts?
Yes. Consent and email capture are event-level settings that apply regardless of whether the event also has a scavenger hunt enabled. Guests need to verify their email and accept consent before participating in any uploads or challenges.
Is this feature available on both Basic and Pro plans?
Yes. Consent and email capture are available on all plans with no plan-tier gating. Note that scavenger hunts themselves require a Pro plan or the scavenger hunts add-on on Basic.
